WhatsApp is the highest-response marketing channel available to an Indian business, and the easiest one to destroy your own number with. This guide explains the difference between the route that works and the route that gets you banned — because most vendors selling "bulk WhatsApp" are selling the second one.

The warning that should come first

If you search for bulk WhatsApp software in India you will find dozens of tools promising unlimited messages to unlimited numbers for a small one-time fee. Most work by automating the ordinary WhatsApp or WhatsApp Business app — driving it with a script, or connecting through an unofficial web session.

This violates WhatsApp's terms of service, and the enforcement is blunt. Numbers used this way get rate-limited, then temporarily suspended, then permanently banned. When it happens to a business number, you do not simply lose a marketing channel — you lose the number customers already have saved, the chat history your staff work from, and any ongoing conversations. Appeals exist but frequently go nowhere, because the platform is enforcing exactly what it said it would.

The uncomfortable part is that it usually works at first. A few hundred messages go out, some customers reply, and the tool looks like a bargain. The ban tends to arrive once volume rises or once enough recipients hit "Block" or "Report" — which is to say, precisely when you have started relying on it.

There are two different WhatsApp products, and the distinction decides everything

The WhatsApp Business app is the free one you install on a phone. It is genuinely good for a small business — catalogue, quick replies, labels, away messages, a business profile. It is designed for a human replying to customers. It is not designed for outbound campaigns, and using automation to make it behave that way is what gets numbers banned. Its broadcast feature only reaches people who have already saved your number, which quietly limits most "broadcast lists" to a small fraction of the audience the owner assumed.

The WhatsApp Business Platform — commonly called the API — is the official route for sending at volume. There is no app to install; you connect through a provider, and messaging is programmatic. It carries real obligations: recipients must have opted in, promotional content must use templates approved in advance, and you pay per conversation rather than per message.

Practically: if a vendor offers unlimited bulk WhatsApp for a flat one-time fee with no mention of opt-in or templates, they are selling app automation, whatever they call it. Official API messaging has a per-conversation cost, so nobody can offer it unlimited and free.

Opt-in is the rule people underestimate

On the official platform you may only message people who have given permission to be contacted on WhatsApp. This is not a formality that a provider waves through — poor opt-in practice produces blocks and reports, and those degrade a quality rating that directly limits how many messages you are allowed to send.

Keep evidence of consent — when, where and in what words. Treating a purchased list as a marketing asset is a risk on two fronts at once.

Template messages, and why they get rejected

Any message you send to someone who has not messaged you recently must use a template submitted for approval in advance. Templates fall into broad categories — roughly, marketing content, utility messages tied to an existing transaction, and authentication codes — and they are priced and treated differently, with marketing the most expensive and the most scrutinised.

Rejections are common and usually avoidable. Utility beats promotion. Order confirmations, dispatch updates, appointment reminders, payment links and delivery notifications are welcomed, cheaper, and quietly build the habit of your customer reading your messages. Businesses that lead with these and promote occasionally outperform businesses that only ever promote.

Segment before you send. The single biggest lever is not the copy, it is who receives it. Past purchasers of a category, customers who lapsed ninety days ago, people who enquired but never bought — each deserves a different message. One message to everyone is what produces block rates.

Write like a person, in the language they replied in. WhatsApp is an intimate channel. Formal marketing prose reads as intrusive there in a way it does not in email. Many Indian audiences respond far better to Hindi or code-switched phrasing than to polished English.

Make opting out easy and obvious. Counter-intuitively this protects your reach: someone who quietly leaves costs you nothing, while someone who reports you damages your quality rating and your sending limits.

The official route takes longer to start than installing an app, and knowing the steps in advance prevents the stall most businesses hit halfway through.

Business verification. You will need a Meta Business account and, in most cases, verification of the legal entity behind it — typically documents showing the business name and address, such as registration or utility records. Choosing the number. This deserves more thought than it usually gets.
